We all need as much help as we can get with email, and that’s why we offer a number of tricks to help you manage the Mail app on your iPhone, iPad, and iPod touch. With ten tips for always seeing and storing more emails on your device for crowd management, smarter replies, fast recipient recipients, the fastest way to access drafts and attach attachments, and Siri for writing complete emails, you’re sure to work more efficiently with emails on the go in iOS Mail.
1: Move email addresses to different recipient fields (Recipient, CC, BCC)
Do you decide at the last minute that you want to blind someone instead? No grandmother, just do this:
- Tap and hold an email address or contact name, then drag it between TO, CC, BCC
Of course, you can move addresses to any field, from BCC to CC, from TO to CC, whatever. Wins by rewriting the address, right?
2: View more emails in the Inbox
Do you want multiple emails to appear instantly in your inbox without having to retrieve them from a remote mail server? This is the setting for you, it keeps more emails stored on your device so you can see more directly on your iPhone, iPad or iPod:
- Click Settings and then Mail, Calendar, Contacts
- Tap “View” and select “100 Recent Posts” or later
The default setting is “Last 50 Messages,” which means that 50 mail messages appear in the mailbox by default, and after scrolling, you must use a remote mail server to get 50 new ones. Changing this setting is very useful if you have a huge mailbox, although higher settings (500-1000 messages) can have some unwanted side effects when the Mail app slows down on older devices and even increases the “Other” mode visible in iTunes.
3: View more emails in your inbox
This setting displays more emails per screen in Mail by adjusting the preview size of the message body. The default is 2 lines, but by moving it to one line or None, you’ll see a lot more emails right away without having to scroll at all:
- In Settings, go to Mail, Calendar, Contacts and select “Preview”
- Tap “None” or “1 line” to display more emails on each mail screen
Note how this differs from the previous tip in that more mail is displayed on each mail screen, but it has no effect on the total number of emails that appear in the mailbox without restarting the server.
4: Use all saved drafts quickly
There is a very fast way to access saved emails on iOS:
- Tap and hold the Create icon to go to the Drafts folder
This uses all drafts, whether they were created and stored on an iPhone or iPad, or on a remote server or webmail program like Gmail. This very handy feature was introduced some time ago and retains all the functionality in the iOS 7 Mail app. Use it, you will appreciate it!
5: Manage sets in email groups: Mark as read, unread, deleted
Managing multiple email groups is easy in iOS Mail, but it may not be obvious to all users:
- In the mailbox you want to edit, tap Edit, and then tap each message you want to customize so that it is highlighted with a check mark.
- Tap Move to send emails to the Trash for bulk deletion or to another mailbox
- Tap “Mark” to mark emails as spam or mark as read or unread
This is very useful if you have received spam messages that are either irrelevant or only need to be marked as read, or when you need to trash a bunch of those that are blocking your mailbox.
6: Increase the font size to make the content of the e-mail easier to read
The text size of emails is quite small by default, and even those of us with moderate vision can find it difficult to read long messages in such a small font size. Fortunately, it’s really easy to increase the size of your email text to be much more readable:
- Open Settings, then go to General and Accessibility
- Tap “Large text” (iOS 6) or “Larger type” (iOS 7) and choose the size that suits your needs
Something to consider with this option is that it also increases the font size visible in text messages and iMessages in Messages, which is really nice and also makes them easier to read.
7: Reply to your email with smart quotes
Smart Quotes is a little-used feature of the iOS app that allows you to reply only to a specific piece of email and is very easy to use:
- Tap and select any part of the email you want to include in the reply, then tap the Reply button as usual
The new email now contains only a portion of the email you selected, instead of the entire story.
8: Sew or edit the “Sent from iPhone” signature
The default signature for emails sent from any iOS device recognizes the device as “Sent from iPhone” or “Sent from my iPad.” If you want to change or delete it, it’s pretty simple:
- Open Settings and then go to “Mail, Contacts, Calendars”
- Tap “Signature” to edit or delete it
We generally recommend that you keep these signatures for a number of reasons, including expectations of brevity, but if you want to delete or edit it, it’s easy enough to switch back.
9: Tap to add images to emails faster
To easily add a picture or two to an email, follow these steps:
- Tap and hold on the body of the message and select “Add photo or video” to find the photo or movie to attach
Images can be added to any email in this way, and it’s much easier than sticking in a photo app to create a new email from there or using the copy and paste method to paste images into emails.
10: Create and send an instant message with Siri
Don’t want to write an email, or maybe your hands are busy? Siri can write it to you using a simple mail compose command:
- Call Siri and say “Enter your email address [recipient name] about [subject] and say [message body]
This is really useful in situations where your hands need to be mostly free and you can’t spend time looking at your iPhone or iPad screen, whether it’s because you’re just busy doing something else, riding a bike, walking, or maybe just hate typing on touch screens.
